FOR CAR DEALERSHIPS

Used car dealership VHC software that keeps preparation under control

Create the vehicle record, assign workshop responsibility, authorise preparation jobs, review completed work and issue the buyer PDI from one dealership-focused workspace.

01

Create the vehicle before workshop work starts

The dealership enters the registration, make and model, mileage and other basic vehicle information before creating the health check. This gives the workshop a clear starting record and avoids duplicate or unidentified vehicles.

The vehicle can remain in-house or be assigned to an invited garage. Dealer-controlled vehicle and customer information remains read-only to the assigned garage.

02

Work with external garages without sharing the full database

Garage access is based on assignment, not blanket visibility.

Invite an existing or new garage

Connect the garage as a separate business with its own users and administration.

Assign a specific vehicle

Choose the garage when the VHC is created or change the assignment while the inspection remains editable.

Limit what the garage can see

The garage sees only vehicles assigned to its business inside that dealership workspace.

Keep dealer details locked

Garages can add inspection work and technician details but cannot create dealership vehicles or alter dealer-entered vehicle and customer fields.

03

Mark preparation jobs completed

A dealer-owned VHC does not include a public-customer authorisation stage. The dealership approves work for an assigned garage, and the garage records each authorised preparation job as completed.

When all authorised work is complete, the garage closes the job and returns it to the dealership. The dealership is notified and is the only party that can reopen that workshop hand-off.

The protected VHC keeps the original finding and job history. Completed VHCs remain in a searchable live archive without changing active buyer PDI or customer document links.

04

Manage separate dealerships and teams

Each business controls its own operational settings.

Private dealership workspace

Vehicle, customer, report and PDI records are isolated from unrelated businesses.

Business-managed users

Dealership administrators can invite, disable and reactivate their own staff accounts.

Custom inspection template

Keep selected library checks or clear everything and build a completely custom ordered checklist.

Searchable completed history

Find completed VHCs by registration, customer or reference without taking linked buyer documents offline.

Platform oversight

The Dealer VHC super administrator can view the business directory and perform basic account administration.

05

Issue an honest PDI to the buyer

A completed inspection can be turned into a dated digital PDI sheet. Jobs marked completed appear as Good without earlier internal details, while advisory or urgent findings still outstanding remain visible.

Dealership staff can issue a PDI even when some tasks have not been completed. The buyer sheet does not present outstanding work as finished, helping the handover record reflect the status at the time it was issued.

COMMON QUESTIONS

Questions about used car dealership vhc software that keeps preparation under control

Can dealership staff create and complete VHCs?

Yes. A dealership can invite administrators and staff or technician users. Direct dealership users can create vehicles, complete inspections and manage the dealership workflow according to their role.

Can an invited garage see every dealership vehicle?

No. An invited garage sees only the dealership vehicles assigned to that garage business.

Can an invited garage add its own vehicle to the dealership?

No. The dealership must create and pre-enter the vehicle details before assigning the VHC to a garage.

Can dealerships delete health checks?

Dealership administrators can permanently delete a VHC together with its associated report links, PDI links, photos and audit history, subject to the confirmation shown in the system.

Can each dealership use a different checklist?

Yes. Checklists are stored per business, and each VHC keeps a snapshot of the checklist used when it was created.

Who can reopen a job returned by an assigned garage?

Only a user in the assigning dealership workspace can reopen a closed workshop job. The assigned garage cannot reverse its own final hand-off.
