FOR INDEPENDENT GARAGES

Garage VHC software for customer reports and approved repair work

Create digital vehicle health checks for retail customers, explain recommended repairs with evidence and prices, collect online approval and move authorised work into a clear workshop queue. Dealer-assigned vehicles remain available as a separate controlled workflow.

01

Use vehicle health checks with your retail customers

An enabled garage workspace lets the workshop create a vehicle health check for a member of the public, record the inspection and turn advisory or urgent findings into clearly priced recommendations.

The customer receives a secure, read-only report and can approve or defer each quoted repair online. Accepted jobs appear in the authorised-work queue, helping the garage follow up genuine repair opportunities without separating the decision from the inspection evidence.

Retail customer VHCs and dealer-assigned vehicles stay identifiable in one searchable register, including a live archive of completed checks.

02

Turn inspection findings into approved repair work

Keep the evidence, estimate and customer decision connected to the same VHC.

Price recommended repairs

Add parts, labour time, VAT and a clear recommendation to relevant advisory or urgent findings.

Share a customer-friendly report

Send a secure report containing the recorded condition, measurements, photographs and quoted work.

Capture approval or deferral

Let the customer decide each repair online and retain the submitted response with the vehicle record.

Manage the workshop opportunity

See approved repairs in the authorised-work queue, mark them completed and preserve the original finding and decision history.

03

Record useful evidence at the point of inspection

Each check supports a traffic-light assessment, several fault descriptions, custom text and evidence photographs. Technicians can record tyre tread at outer, centre and inner positions and enter component-specific brake measurements.

The checklist follows a practical sequence from under bonnet to mid-height ramp, full-height underside and final interior checks. Every individual check has its own Fast pass action, so technicians can record no defect item by item without bulk-passing a complete section.

04

Receive dealership vehicles as controlled assignments

Dealer work stays separate from the garage’s retail customer authorisation workflow.

Vehicle details arrive prepared

The dealership enters the registration, make/model, mileage and booking details before assigning the job.

Only assigned vehicles appear

Your garage does not receive access to other vehicles held by the dealership or another invited garage.

Dealer details remain protected

Garage users cannot alter the dealership’s vehicle or customer information.

Return completed preparation

Technicians add findings and evidence, complete authorised jobs, then close the job and return it to the dealer for review.

05

Follow dealer checklists or build your own

Every assigned health check arrives with the dealership’s checklist already attached. The garage records results, measurements, faults, notes and photographs against that fixed inspection snapshot.

For the garage’s own customer VHCs, its administrators can select supplied checks, clear the template or build a completely custom list. Existing records retain the checklist that applied when they were created.

COMMON QUESTIONS

Questions about garage vhc software for customer reports and approved repair work

Can an invited garage create its own health check?

Not inside a connected dealership workspace. Dealer vehicles must be created and assigned by that dealer. If customer VHC access is enabled for the garage’s own workspace, it can separately create and send VHCs for its own customers.

How can a garage use VHCs to recommend repair work?

The garage records the condition and evidence, prices relevant repairs and sends the customer a secure report. The customer approves or defers each item, and authorised work appears in the workshop queue for follow-up and completion.

What happens when a dealership invites the garage?

The garage gains a separate connection to that dealership. It sees only vehicles the dealership creates and assigns to the garage.

Can the garage change dealer-entered vehicle details?

No. The dealership controls the vehicle and customer fields. The assigned garage can add inspection information and complete the VHC.

Can a garage invite its own staff?

Yes. A garage administrator can add and manage users belonging to that garage business.

Who controls the checklist?

The dealership controls the checklist on an assigned dealer VHC. The garage controls the template used for customer VHCs created in its own enabled workspace.

How does a garage return completed work to a dealer?

After every authorised preparation job is marked complete, the garage closes the job. Dealer VHC notifies the dealership, locks further garage changes and lets only the dealership reopen the workshop job.
